Cancellation & Rate Policy

Last updated: October 2026

This page explains how our room rates are quoted, what applies to extra guests and children, and how cancellations, changes and no-shows are handled for stays at Ngalawa Hotel & Resort.

1. How Our Rates Are Quoted

2. Children

3. Cancellation Charges

If you cancel a confirmed booking, the following charges apply, based on how many days before your arrival date we receive your cancellation. Charges are a percentage of the total price of your stay.

Days before arrivalCancellation charge
31 days or moreNone — full refund
30 to 23 days65%
22 to 15 days70%
14 to 2 days85%
1 day or less, or no-show90%

4. Booking Requests Are Not Pre-Paid

This website does not take payment when a booking request is submitted, so nothing is charged to you when you request a booking. Any deposit or prepayment that applies to your stay will be explained to you directly by our team, by phone, email or WhatsApp, when your booking is confirmed.

5. Cancelling or Changing a Booking

If you need to cancel or change a booking request — whether it is still pending or has already been confirmed by our team — please contact us as soon as possible, quoting your booking reference where available:

6. No-Shows

A "no-show" is a confirmed booking where the guest does not arrive and has not cancelled in advance. A no-show is charged 90% of the total price of the stay, the same as a cancellation made 1 day or less before arrival.

7. Early Departure

If you choose to leave earlier than your confirmed check-out date, please let our team know as soon as possible. Whether any refund applies for unused nights depends on the rate and terms agreed at the time of booking.

8. Group, Conference & Wedding Bookings

Group, conference and wedding bookings are typically arranged under a separate agreement with the Hotel, which sets out its own deposit, payment and cancellation terms specific to your event.

9. Force Majeure

Neither you nor the Hotel will be responsible for a failure to honour a booking where this is caused by circumstances beyond reasonable control — for example, natural disaster, government action, or other events of force majeure.

10. Questions

If anything in this policy is unclear, or you would like to confirm the terms that apply to your specific stay, please contact us using the details above before completing your booking.
